OX IT Solutions LLC (“we,” “us,” or “our”) provides OX BOT, an AI back-office assistant that works inside your email. This policy explains what we collect, how we use it, and your choices.

1. Information We Collect

  • Account information: your name, email address, and subscription details.
  • Mailbox data: with your permission, we connect to your email mailbox via OAuth to read and process messages so OX BOT can draft responses, summaries, and reminders. We never connect a mailbox you have not authorized.
  • Phone and SMS data: if you opt in, your mobile phone number so we can send review and approval messages.
  • Usage information: how you interact with the service, including approval activity and command history.

2. How We Use Your Information

We use your information to operate OX BOT: preparing drafts, sending review-and-approval requests, providing support, and managing your subscription. Nothing is ever sent, filed, or changed on your behalf without your explicit review and approval.

3. How We Share Your Information

We do not sell your personal information. We share information only as needed to operate the service: with our infrastructure providers (hosting, communications) who are contractually bound to protect it, and when required by law.

Mobile data: Your mobile information will not be shared with Third parties for Marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

4. Text Messaging (SMS) Program

If you opt in to SMS, OX BOT may send you review-and-approval texts and service alerts. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time; reply HELP for help. You will receive a confirmation text when you opt out.

5. Data Security

Client data is encrypted and isolated per workspace, with access limited to what is needed to operate your account.

6. Data Retention and Deletion

We retain your information while your account is active. You may request a copy or full deletion of your data at any time by emailing oxbotai@oxitsolllc.net, and we will honor the request.

7. Your Rights

You may access, correct, or delete your information and withdraw consents at any time by contacting us. OX BOT is a business service not directed to children under 13.

8. Changes to This Policy

We may update this policy; the current version is always posted at oxitsolllc.net, and material changes will be communicated to you.
